Documents
Stop sorting faxes.
Every fax, email and file is read, sorted and sent to the agent or workflow that finishes the job. Your team handles only what needs a person.
Works with your fax lines, email and OneDrive, and files into your EHR.
Examples: a 124-page lab fax holds results for 38 patients. Shift splits it by patient, files 37 to their charts, and alerts Dr. Patel’s nurse about one critical potassium. A referral is sent to the Referral Agent, which sees the HMO plan needs a PCP referral and requests it. A surgery packet’s booking form is filled in from the chart and sent to the surgeon to sign the consent.
How it works
Six steps. Each document uses only what it needs.
Every document is parsed and classified. Then Shift splits, extracts, fills in and routes only as much as that document needs, and a person decides whenever it isn’t sure.
1 · Parse
Reads every page, whatever arrived.
- Faxes and scans, including low-quality ones
- Typed letters, forms and tables like lab panels
- Batches and packets of a hundred pages or more
Used: Every document.

Reading is the easy part
Other tools tell you what a document says. Shift gets it done.
It matches the patient, files to the chart, fills in the form, chases the missing signature for days, and hands off to the right agent. When it isn’t sure what a document is, a person decides.
A person approves what matters
- Refill requests are routed to the provider for approval. Once approved, Shift faxes the response back to the pharmacy.
- Records releases are routed for approval first. Once approved, Shift pulls the records and sends them.
- Critical results go straight to your clinicians, the moment they arrive.
- No chart is ever guessed. If the patient doesn’t match, nothing is filed until someone confirms.
Questions
Documents, answered.
What documents can it handle?
Lab results, referrals, surgery packets, imaging reports, records requests, refill requests, payer letters, patient forms, outside records and hospital notices, including faxes and batches that bundle many of them together. Junk faxes are set aside so nobody has to read them.
Where do documents come from?
Your fax lines, a shared email inbox, and OneDrive folders. Keep your existing fax numbers so senders change nothing, or add new ones.
Does it file into our EHR?
Yes. Documents are matched to the patient and filed as the right document type in athenahealth, NextGen, AdvancedMD, eClinicalWorks, Greenway, ModMed and SIS.
Can it split a batch of lab results?
Yes. A lab fax with results for dozens of patients is split by patient, and each result is matched and filed to the right chart. Critical values go straight to your clinicians.
What happens when it isn’t sure?
It doesn’t guess. A person decides, and the answer is remembered next time.
How is patient data protected?
Every customer gets a BAA, data is encrypted in transit and at rest, and every action is logged with its reason. Security & Compliance →
